These FAQs are specifcally for ESC fully managed properties , other properties advertising on the ESC site will have their own variations.
 

If you take a personal travel insurance policy it will protects you from potential losses if for some reason you have to cancel your booking or experience travel delays. If you can imagine you were the owner of a property that ESC managed and you were advised that a booking has been achieved for a given period 6 months in advance and then at the last minute the person cancels and no replacement booking is found. You would not be very pleased with ESC If a full refund was provided immediately you were left with no income from your investment property. ESC could have also advised several other interested parties that during the time from the original booking to the cancellation date that unfortunately the property was booked. It would therefore mean that ultimately ESC would just be operating a reservation system and not a booking one.

Therefore ESC has to protect it's clients but would always advise guests to protect themselves from potential losses by taking out a comprehensive travel insurance policy. It would also cover you for theft, medical emergencies, travel delays etc, etc A travel insurance policy should be mandatory in any travel plans that people make.

ESC does not own the properties on the website. They are owned by different people and ESC either fully manages them on their behalf or provides an enquiry and booking service were the owners manage the preparation and running of the property themselves.

The security/key deposit (when required) is actually a slight variation of the procedure that hotels operate by swiping a guests credit card when they check in. However hotels have no limit on what they charge to the credit card if a guest causes unnecessary damage.

Unfortunately in the early years of operation we had a small number of people who did not show much respect to the properties they had booked, caused unnecessary damage or just left the properties in an unacceptable condition i.e. left food items lying about, dirty dishes etc.

It not expected that guests should clean properties but it not unreasonable to ask that items like crockery are put back where they were found and all garbage is bagged up and ready for cleaners to take away. The small security/deposit of either 200 pounds  has pretty much stopped these issues by giving most guests a subtle mental nudge to perhaps put things away and tidy up. In the very exceptional cases of blatant disrespect to the properties and damage has occurred, 200 pounds rarely covers it. Please note that some properties have a different security amount, please check the specific terms & condtions of a property during the booking process.

  1. Terms and Conditions. ***Please note these T& C's are specifically for ESC fully managed properties, all other properties actual T&C's can be scrutinised during  the booking process or on the secure guest area once a booking has been completed****
    Edinburgh SC (Self Catering) Ltd act as booking agent for the property, and we will collect the payments due by you to the Accommodation Provider (including the Security Deposit).
    Please note that by entering into this contract you will also be entering into a separate contract with Accommodation Provider.
    DEFINITIONS
    A. The Accommodation Provider means the owner providing the accommodation to rent.
    B. us means Edinburgh SC (Self Catering) Ltd, as booking agent for the Accommodation Provider.
    C. you means the person booking the accommodation and includes all members of the party.
    D. The Booking Terms and Conditions means the contract between us, as booking agent, and you as set out in this document, the booking form and the confirmation invoice.
    1.  The Hirer warrants that the subjects let are to be used for the purposes of a holiday and so accepts that the letting is a holiday let to which Section 12(2) and paragraph 8 of Schedule 4 of the Housing (Scotland) Act 1988 apply, namely, "a tenancy the purpose of which is to confer on the tenant the right to occupy the house for a holiday."
    2. A contract of booking is made when we have received your booking details and the reservation deposit/full payment and we have confirmed the booking to you.
    3. The Hirer shall not sub-let the premises or any part thereof.
    4. The number of people occupying the premises shall not exceed the number stated for the premises unless prior permission is sought.
    5. The Hirer binds and is obliged to vacate the hired premises without demand at the termination of the period of hire.
    6. The Hirer binds and obliges him/herself to pay to the Lessor (accommodation provider) in respect of any loss or damage beyond fair wear and tear.
    7. The Hirer shall, at all times, keep the hired premises in a clean and tidy condition and leave them in this way. A charge may apply for an unreasonable amount of cleaning at the termination of hire.
    8. The Hirer shall undertake to prevent any member of their party from causing a nuisance or disturbance to other residents or occupiers.
    9. The Hirer undertakes to leave the hired premises secure if left unoccupied during the period of let.
    10. To permit the owners and their agents reasonable access to the property.
    11. Cancellation
    a. In the event of cancellation the following terms and charges will apply -
    b. 6 months prior to arrival – full refund minus 5% admin fee with a £50 minimum.
    c. 42 days or more – 25% of full rental fee
    d. 41 days or less – full rental fee.
    These cancellation terms DO NOT apply to any bookings made under specific "Non refundable" offers on any OTA's such as booking.com and Tripadvisor.
    Please consider obtaining personnel holiday insurance to cover this and other potential losses.
    Please note that as the properties advertised can have different owners, in the event of several properties being booked by the same person they will still be treated as individual bookings unique to each specific property.
    12. In the event of ESC cancelling the booking a full refund of all monies will be given.
    13. The lessor may treat the booking as cancelled if the balance of the hire fee is not received by the period specified in the booking agreement (42 days prior to arrival date).
    14. The Hirer undertakes to relieve the Lessor , their agents or employees from any liability for damage or injury however caused by any member of their party.
    15. The Lessor, their agents or employees, accept no responsibility for loss, injury or damage to any member of the Hirer’s party or their property, howsoever caused, arising in any manner out of the let of the premises.
    16. A "meet and greet" policy is operated. You will be met at a property at a pre-arranged time to give access. Full instructions of this are sent out in the formal confirmation. Please note that for arrivals after 19:00 there is a range fees for unsociable hours payable direct to the ESC representatives on arrival, 19:00 - 22:30 is 15 pounds, 22:31 - 00:00 is 30 pounds and 00:01 - 02:00 is 50 pounds,  the latest access can be given is 02:00, otherwise it is given at 08:00 the next day. ESC accept no liability for any costs involved in alternative accommodation for this 6 hour period.
    17. If the provision of free broadband internet access has technical problems outwith the control of the property owner, no compensation claim can be made for non-availability.
    18. A 200 pounds refundable key/security deposit must be provided prior to arrival via the security deposit facility on the ESC website.  This is automatically rescinded 2 days after departure.
    19. COMPLAINTS Any complaints about the accommodation or its contents, must be raised immediately with the Accommodation Provider (or their agent) during the course of the Guest’s stay, particularly regarding presentation and cleanliness of the accommodation as there must be an opportunity provided to rectify any issues before the termination of the booking.
  2. *The Niddry St properties all have self access. Keys are usually kept in a key box outside the property and instructions will be provided in the formal confirmation sent out.

Departure has to be at 10 am at the latest to allow time to prepare the property for the next guests and collect all the linen & towels to do the morning laundry run. A guaranteed late departure up to 20:00 can be requested (if available) for 50% of that daily rate. Please email if you want to utilise this facility and a price will be calculated.

Entry is from 14:00 onwards but if nobody has booked to depart on your day of arrival it will probably be very suitable us to give you entry as early as possible. Even if there is a booking departing that day it might still be possible to at least drop off luggage.

Some of the properties are operated differently from others and you might be provided with a pin number for a key box so early entry will be possible if nobody is booked to depart that day. You can check this if you have booked one of these properties by reviewing the availability calendar just before you leave to come to Edinburgh.

For most of the properties except for some exceptions*, a "meet and greet" policy is operated. You will be met at a property at a pre-arranged time to give access. 2 nights for most of the year. The exceptions are the Edinburgh festival/frine in August, but this is relaxed once larger bookings have been achieved. New Year has a minimum booking off 4 nights.
